How to send and receive mail on 2 computers (or more)

Easiest Way (but not most recommended)

The easy way will be to set both computers to "Leave a copy of messages on Server". Then set one or both of them to "Remove from Server after X days" where 'X' could be any number of days.

You'll set 'X' such that the the emails are not kept too long on the server and your mailbox end up going over quota.

You'll also want to set it long enough so that all the computers have a chance to download the emails before they are removed from the server.

It could thus be any number of days from 3 days to 7 days, depending on your usage pattern. You'll probably want to adjust this value after a period of usage to find what's best for you.

Recommended Way

This is somewhat more complicated, but ensures that both computers will receive all emails as intended.

Step 1: From Cpanel, create an additional dummy email account. Eg, forwardmail@domainname.com

Step 2: Set up an email forwarder from the original email to the dummy account. Eg, original@domainname.com to forwardmail@domainname.com

Step 3: Setup the extra computer to send and receive the email forwardmail@domainname.com

Step 4: Change the E-mail Address setting for forwardmail@domainname.com so that the email reads as original@domainname.com. (note, incoming and outgoing email username setting should still be forwardmail@domainname.com)

Done!

How this works is that you can have one computer sending and receiving original@domainname.com as per normal. The 2nd computer will however use forwardmail@domainname.com to send and receive email. However, emails sent from the 2nd computer will show as from original@domainname.com so no one will know about the dummy email address.

Setting up this way also reduces the problems sometimes encountered by leaving mail on server like having the same emails downloaded more than once.

You can repeat for each additional computer that needs to send and receive the same email address.
